Middle Office Support Specialist

We are seeking a proactive and organized Middle Office Support Specialist to join our team. The selected candidate will play a key role in ensuring the efficient operation of daily office activities, providing support to various departments, and contributing to the development of a productive work environment.

Requirements:

  • Bachelor’s degree in Business Administration, Human Resources, or related fields.
  • At least 2 years of experience in similar roles.
  • Advanced communication skills and the ability to manage supplier relationships.
  • Exceptional service attitude and problem-solving focus.
  • Strong numerical and analytical skills.
  • Advanced proficiency in Excel and other Microsoft Office tools.
  • Fluent in English (minimum B2 level).
  • Must reside in Medellín, Colombia.

Responsibilities:

  • Support in inventory management, procurement, supplier quotations, and event logistics.
  • Manage payments to third parties
  • Supervise office needs, including relationships with suppliers for rent, materials, provisions, and maintenance.
  • Organize and execute repairs and improvements to office facilities.
  • Prepare and deliver onboarding materials such as computers, peripherals, access cards, and welcome packs for new employees.
  • Propose process improvements in collaboration with the immediate supervisor.
  • Create and maintain detailed reports to monitor processes and document completed activities.
  • Research, evaluate, and negotiate with suppliers to ensure cost-effective, high-quality services.
  • Coordinate logistics for corporate events, including venue selection, schedule management, and vendor coordination.
  • Ensure compliance with safety and operational standards within the office.
  • Monitor office supplies to avoid operational disruptions.
  • Assist with travel arrangements and accommodation logistics for employees when necessary.
  • Act as a liaison between employees and service providers for operational matters.
  • Maintain updated records of vendor agreements and operational expenses.

Preferred Qualifications:

  • Experience in collaborating on interdepartmental projects (Branding, IT, Procurement, Human Resources).
  • Familiarity with logistics processes.
  • Knowledge of office management software and tools.
